This Privacy and Cookies Policy (“Policy“) relates to services Profile Group (“We” or “Us”) provides through its website and application Talentfinder (“Services” or “Talentfinder”) and it presents the basis on which the personal data collected from users, or that users provide to Us will be processed by Us.

For this reason, we want to make sure that you understand the types of data we treat, how and why we gather it, who we share it with, how long we store it, your rights, and how we protect it. We have done our best to be as clear as possible in this document. However, it is possible that you are not familiar with certain terms. With that in mind, please do not hesitate to contact us if you have any questions.

A. We are the Data Controller for the data of Users of the Website, and for the data of business contacts (Clients) and prospects of Profile Group.

As Data Controller:

  1. What types of data do We deal with?

We gather and process some or all these types of data:

  • Personal ID information, such as name;
  • Electronic ID information, such as email address, phone number, cookies;
  • Information about employment, such as employer, place of work, function;
  • Information about recruitment;
  • Information about how work is organised.
  1. How do We collect these data?

The data is collected in different ways:

  • Information can be provided by Users when they fill in a form on the Website;
  • Information can be provided by Users when they subscribe to our Services, when they send us material or when they request further information about our Services;
  • Information can be provided by Users asking for support (LiveChat, etc);
  • Information can be provided by Users when they visit our Website;
  • Personal and electronic ID information of Client’s employees can be given by the Client to set up an account in Talentfinder;
  • Personal and electronic ID information of prospects can be obtained from public sources, such as social media, company website…
  1. Why do We process your data?

This information is processed by Us to:

  • Gather, save, view and use the data, in order to provide our Services to our Clients;
  • Check and analyse the Website and application’s data to improve the Users’ experience both in a technical and content perspective;
  • Continuously improve the Services We provide;
  • Provide interesting information to (prospective) Clients about our Services;
  • Notify (prospective) Clients about changes or new functionalities of our Services.
  1. Who do We share this data with?

Users’ data is only shared with:

  • Members of staff working at Profile Group for Talentfinder;
  • Users themselves;
  • Profile Group’s subcontractors for Talentfinder, such as the hosting company, insofar as it is necessary for the fulfilment of their roles or if required by law;
  • Public authorities in circumstances where it is required by law.

We will endeavour to minimise such disclosure to only that reasonably necessary and, if possible, we will notify Users of such disclosure.

  1. How long do We keep your data?

The data is kept as long as is necessary to accomplish the goals for which the data was acquired and in accordance with our legitimate interests as Data Controller. However, in exceptional circumstances, the data may be kept longer if a legal and administrative monitoring demands that it is kept for longer.

  1. What are your rights?

By sending a dated and signed request (including electronically) by email to dpo@profilegroup.com or by standard post along with poof of ID, any User can get a free copy (including electronically) of his/her personal information from Profile Group, as well as being able to correct or delete incorrect or incomplete information, or limit how it is used, within 1 month of receipt of the request. All Users also have the right to transfer their data. After the deadline of 1 month, if there is no response or reaction from Profile Group, the User can assume that his/her request has been rejected.

If We have shared data with other parties, We will take all reasonable measures to inform these parties of the request to delete or correct or limit the usage the data.

If any User would like to make a complaint, he/she can do so by contacting the Autorité de Protection des Données, rue de la presse, 35 – 1000 Brussels.

  1. How do We protect your data?

We take appropriate technical and organisational measures to ensure the security of personal data, in particular against unauthorised handling and access, and will make every effort to make sure that these measures are as up-to-date as possible, given the state of knowledge, costs for implementation and the nature, scope, and purposes of the processing as well as the risks for the Users.

Users’ data is stored in a secured and fully compliant data centre in the Netherlands and processed in Belgium.

Our Websites contain links to and from other websites (partners, Clients, job boards). These websites have their own privacy policy and we do not take any responsibility or liability for these.

We are also a Data Processor for personal data of Candidates who apply for a job at our Clients, and We process these personal data on behalf of those Clients that are using our Services for recruitment purpose. When a Candidate applies for a Client’s job, the Client’s disclaimer will apply to the Candidate.
